Softtek Global COVID-19 Action Plan

Below you can find a description of different actions we have taken to respond to the COVID-19 pandemic. Actions are listed with the most recent on top:


April 7th, 2020

IT services classified as essential by Mexican authorities 

The following actions have been taken in addition to the once announced earlier:

  • Mexican authorities have designated Information Technology companies as essential due to their relevance in maintaining and updating the information systems of the public, private and social sectors. This designation was published in the April 6th edition of the Diario Oficial de la Federación.
  • Despite this designation, Softtek will maintain and continue to foster the work from home efforts. Today nearly 99% of all Softtekians in Mexico are working from home.

More than 800 BCPs implemented

The following actions have been taken in addition to the once announced earlier:

  • In total, we have implemented over 800 Business Contingency Plans with all our clients and projects.
  • As new capabilities have been put in place, we have been able to achieve 98% of Softtek people working remotely worldwide.
  • All our projects are operating at or above BCP Service Level Agreements.
  • Softtek has adapted its wellness program to assist employees with health, nutrition and stress coping resources. The program includes a resource center, as well as consultation and daily remote sessions.

The following actions have been taken in addition to the ones announced earlier:

  • As authorities around the globe have increased movement restrictions, and enforce shelter-in-place regulations, we have updated the status of several of our Global Delivery Centers (GDCs) and offices.
  • Mexican authorities have moved to level 2 of the 3-level response to pandemic. For all practical purposes, all our offices and GDCs in Mexico were compliant with the new restrictions since last week, several days before it was enforced. We are now classifying all our locations in Mexico as level 3 in our COVID-19 Action plan.
  • As governments in Spain, India, Peru, Chile and Colombia have implemented strict shelter-in-place regulations, we are moving our locations there to level 4.
  • Authorities in Wuxi, China have lowered restrictions. We are scaling down from level 3 to level 2 of our COVID-19 Action plan in Wuxi, although Shanghai and Beijing remain on level 3.

~95% Softtek people working from home and good news from China

The following actions have been taken in addition to the once announced earlier:

  • As authorities around the globe have increased movement restrictions, and enforce shelter-in-place regulations, we have also ramped up our work-from-home capabilities. As of end of day March 20th we have 94% of our employees working from home. 
  • Our offices in Mexico are now operating with nearly 93% of our people working from home, even though Mexican authorities have not raised the contingency level countrywide. 
  • As conditions have improved in China, we have been able to have people returning to work at our GDC in Wuxi. Softtek China now operates with 49% of the people working from home.
  • The ratio of  people working from home vs working at Softtek facilities, across the world is as follows:

90% of Softtek people working remotely worldwide

The following actions have been taken in addition to the once announced earlier.

  1. Authorities in Argentina have declared a national shelter-in-place policy starting Friday March 20th, our Global Delivery Centers and offices in Buenos Aires and La Plata will be moved to level 4 of our Global COVID 19 Action Plan.
  2. Our offices in Mexico are now operating with nearly 90% of our people working from home, even though Mexican authorities have not raised the contingency level countrywide.
  3. In the U.S. all non-operations Softtek employees are working from home.
  4. The ratio of people working from home vs working at Softtek facilities, across the world, is as follows:

Updates in Mexico and Costa Rica 

The following actions have been taken in addition to the once announced earlier.

A. Softtek Costa Rica has moved to a level 3.

B. Even though authorities in Mexico have not enacted measures of social distancing in the country, and in Mexico City, the guideline is to avoid events with more than 1,000 people, we have moved to significantly reduced the number of people working at Softtek’s facilities.

In most locations we have achieved a ratio of more than 70% of people working from home (WFH). We are working with our clients to increase this percentage.

Over the last week Softtek has implemented an action plan to respond to COVID-19, the global pandemic, as declared by the World Health Organization on March 11, 2020.

Priorities

  1. Preserve the health of our employees, clients and partners
  2. Comply with local and international regulations and contribute to efforts to minimize impact of the pandemic.
  3. Avoid or mitigate disruptions to the service we provide to clients.

Achieving these results will require a coordinated effort with our clients and employees at every level of the organization.

Global Action Committee

We have established a Global COVID 19 Action committee conformed by:

  • Jaime Gonzalez, Director Information Security & Business Continuity
  • Alex Camino, Chief Marketing Officer

The committee meets at minimum daily at 10:00 AM EDT.

We have updated our Business Continuity Plans (BCPs) for the particulars of COVID-19 based on our experience from the H1 N1 outbreak in 2009, and what we have learned up to this point from our teammates in China, who have already gone through this. Operational leaders are up to date on the BCPs.

Local/Regional Committees

We have established 9 different local/regional committees which are responsible to respond to the local needs and regulations as they unfold, and in accordance with the specific scenarios that arise with our operations in all parts of the globe.

5-level COVID-19 Action Program

We have established a 5-level COVID-19 action program.

Below are the general guidelines of each level. These guidelines are not comprehensive, as additional and different actions may be taken in each location.

    0. Normal operations
    1. Enhanced awareness
    • Internal campaigns to raise awareness of personal hygiene and recommendations of health officials.
    • Enhanced sanitization of work areas. Includes ramp-up in frequency of cleaning.
    • Increase availability of hand sanitizer and bacteria-cleaning wipes in GDCs.
    • Any employee presenting flu-like symptoms should remain at home, get a diagnosis and communicate results to Softtek.
    • All travel to high risk areas is suspended.
    • Individualized BCPs reviewed and updated with customers/projects.
    • Ensure availability of crisis management team.
    • Ensure supply of mobile and work-from-home devices
    • Don’t establish commitments for new conferences and events
    • Reduce non-essential travels to the minimum.
  1. Enhanced prevention
    • Suspend internal gatherings
    • Eliminate non-essential travel.
    • Suspend participation in all conferences or events
    • Most meetings are held via tele-conferencing.
    • Staff areas (not directly related to client operations) start working remotely.
    • People with underlaying health conditions that make them more vulnerable to COVID-19 according to WHO, can request to be moved to work from home on any location of Softtek worldwide.
  1. Remote
    • BCPs are implemented in the location to reduce the number of people working at GDC.
    • Work that cannot be done remotely is moved to another Softtek location, or a client facility.
    • Vast majority of people are working remotely.
    • All non-urgent travel is suspended
    • All meetings via tele-conferencing
    • Facilities are disinfected by specialized crews.
    • Personnel relocation to locations not affected is assessed and done on a case-by-case basis.
  1. Lock-down
    • All Project Business Contingency Plans will be activated in the location. Clients will be informed, and remote work is enforced. SLAs will remain under agreed contingency SLAs
    • Only critical support personnel (Operations, IT & Facilities) will be allowed to enter offices if the local authorities authorize it.
    • All travels cancelled.
  • These action levels are to be determined on a location by location basis. (Office by office, GDC by GDC)
  • Local committees are responsible to enact the Softtek COVID 19 action level in their region.

No COVID-19 cases at Softtek

  • As of the moment of this publication, there have been no COVID-19 cases reported at Softtek, nor direct exposure with people diagnosed with COVID-19.
